1. About this policy

This policy explains what personal information we collect when you use otisjobs.com, why we collect it, what we do with it, and what rights you have over it.

Who we are. otisjobs.com is operated by Majestic Systems Ltd, trading as OtisJobs, a company registered in England and Wales under company number 10954304. Our registered office is at Upper Norgrove, Yarrington Road, Alfrick, Worcester, England, WR6 5EX.

We are the "controller" of your personal information, which means we decide how and why it is used. We are registered with the Information Commissioner's Office under registration number C2016532.

2. The short version

  • We collect what you give us when you register, plus a small amount of technical information about how you use the site.
  • If you upload a CV, we store it so you can use it. We do not send it to employers and we do not sell it. Applications happen on other websites, not here.
  • We use Vercel's built-in analytics to see how the site is being used. It does not use cookies and does not track you across other websites.
  • We send job alerts only for searches you set up, and you can stop them at any time. We don't send marketing emails.
  • You can download or delete everything we hold about you, at any time, from your account settings.

3. What information we collect

Information you give us:

  • Account details — your email address and password when you register.
  • Profile information — anything you choose to add, such as your name, location, job titles, skills, and the kinds of roles you are looking for.
  • Your CV — if you choose to upload one. You do not have to.
  • Alert preferences — the searches you save and the alerts you set up.
  • Messages you send us — if you contact us for support or to report a listing.

Information we collect automatically:

  • Technical information — your IP address, browser type, device type, and operating system.
  • Usage information — pages you visit, searches you run, listings you click, and when you visit (see section 6).

We do not buy personal information about you from anyone else, and we do not collect information about you from social media or other public sources.

4. Why we use your information, and our legal basis

UK data protection law requires us to have a lawful basis for everything we do with your personal information. Ours are set out below.

Where we rely on legitimate interests, we have considered whether our interests are outweighed by your rights. You can ask us to explain that assessment, and you can object to that processing — see section 12.

5. Sensitive information in your CV

CVs often contain information that data protection law treats as special category data — for example, details that reveal your health or disability, your racial or ethnic origin, your religion, your trade union membership, or your sexual orientation. Information about criminal convictions gets similar protection.

We do not ask you for any of this. But because you control what your CV says, you may choose to include it.

Where you do, we rely on your explicit consent to store and process that information. You give that consent when you upload the CV, and you can withdraw it at any time by deleting the CV from your account. Withdrawing consent does not affect anything we did with it beforehand.

If you would rather we did not hold this kind of information at all, simply leave it out of the version you upload.

6. Cookies and analytics

Essential cookies keep you signed in, remember your cookie choices, and keep the site secure. These are necessary for the site to work, so we do not need your consent for them.

Analytics. We use Vercel's built-in analytics, provided by the company that hosts our site, to understand how otisjobs.com is used — which pages are popular, how visitors arrive, and where things go wrong.

It does not use cookies and does not store anything on your device. It does not build a profile of you, and it does not follow you to other websites. Vercel derives an anonymous identifier from your request so that repeat visits within a day can be counted, and that identifier cannot be traced back to you.

Server logs. Our hosting keeps standard access logs, including IP addresses, for security and troubleshooting. This is separate from analytics.

We do not use advertising or retargeting cookies, and we do not allow third parties to track you across other websites through our site.

7. Emails we send you

Job alerts are sent only for searches you have set up. Each alert has an unsubscribe link, and you can turn alerts off in your account settings.

Service messages — password resets, security notices, changes to our terms — are part of running your account, so we send these regardless. You cannot opt out of them while you have an account.

We do not send marketing emails. If that changes, we will ask for your consent first, and you will never be opted in by default.

8. Who we share your information with

We do not sell your personal information, and we never have.

We do not send your CV or profile to employers. Applications happen on third-party websites. When you click through to apply, you leave otisjobs.com and anything you provide on that site is governed by that site's privacy policy, not ours.

We share information with service providers who help us run the site. They act on our instructions and cannot use your information for their own purposes:

  • Vercel — hosting, site infrastructure and analytics
  • Resend — sending job alerts and service emails

These are the only third parties we share your information with.

We may also disclose information if we are legally required to — for example, in response to a court order or a request from a regulator — or to establish or defend legal claims. If our business is sold or reorganised, information may transfer to the buyer, who would remain bound by this policy.

9. Sending information outside the UK

Our hosting and databases are located in the UK or the European Economic Area.

However, some of our providers are US companies, and your information may be accessed from or transferred to the United States. Where that happens, we rely on one of the safeguards UK law permits — either the provider's certification under the UK Extension to the EU–US Data Privacy Framework, or the UK International Data Transfer Agreement or Addendum.

10. How long we keep your information

A note on backups. When you delete something or close your account, it goes from the live service straight away. Copies may remain in our backups until those backups are rotated, which takes up to 12 months. During that time the data is not used for anything — it sits there only so we can restore the service if something goes wrong, and it is deleted when the backup expires.

Where we are required to keep something longer for legal or accounting reasons, we will.

11. How we protect your information

We use encryption in transit and at rest, restrict access to personal information to those who need it, and keep our systems patched and monitored.

No online service can be completely secure, so we cannot guarantee absolute security. If a breach occurs that is likely to result in a high risk to your rights, we will tell you without undue delay, and we will report qualifying breaches to the ICO within 72 hours as the law requires.

Please use a strong, unique password and do not share it with anyone.

12. Your rights

You have the right to:

  • Access the personal information we hold about you, and get a copy.
  • Correct anything inaccurate or incomplete.
  • Delete your information ("the right to be forgotten").
  • Restrict how we use it while a concern is being resolved.
  • Object to processing we carry out on the basis of legitimate interests, and to direct marketing at any time.
  • Portability — receive your information in a machine-readable format, or have it sent to another provider.
  • Withdraw consent at any time, where we rely on consent.

Most of these you can exercise yourself: your account settings let you edit your profile, download your data, delete your CV, and close your account.

Otherwise, email otis@otisjobs.com. We will respond within one month. We do not charge for this, and we will not ask you to justify your request. We may ask you to confirm your identity first.

13. Automated decisions

We may rank or recommend listings based on your saved searches and profile. This helps you find relevant roles, but it does not make any decision about you, and no employer sees your information as a result.

We do not make decisions about you by automated means that produce legal effects or similarly significant effects.

14. Children

otisjobs.com is for people aged 18 and over. We do not knowingly collect information about anyone under 18. If you believe someone under 18 has registered, email otis@otisjobs.com and we will delete the account.

15. Changes to this policy

We update this policy from time to time. The date at the top shows when it last changed.

If we make a significant change — for example, using your information for a new purpose — we will tell you by email or through a notice on the site before it takes effect.

16. Complaints

If you are unhappy with how we have handled your personal information, please tell us first at otis@otisjobs.com so we can try to put it right.
